Applying Part Payments to an Order (Split Payment)

Michael -

When it comes to checking out an order using Kounta, you can easily Split the Order so customers can pay for what they ordered separately or Split the Paymentso that customers can pay their half or use multiple payment methods.

The split payment function can also be used to Apply a Part Payment to a Held Order, Account Sale or Lay-By (Layaway), leaving the outstanding amount on hold until payment is finalised.

How to Split a Payment

When applying a Split Payment, the split would be applied to the order that is being checked out. A split (Split Order) can be applied to an order prior to splitting payment. For example: if a customer wishes to split a bottle of wine, you can split the order to move the wine to another order and then split the payment on that order.

  1. With the Order open, tap on Check Out.

  2. Tap on Split Payment.

  3. Select the Amount To Pay or Split to equally divide the amount. The total can be split as many times as required.

  4. Enter the Amount to Pay. The amount remaining will be automatically calculated.

  5. Select Checkout on each amount and specify the payment method. If a cash amount is selected, the change will be shown.

The amounts Still to Pay will be shown above the amounts Paid. You can select the X next to Checkout to remove a split line Still to Pay. Once a payment method has been selected and the split line is Paid, the order will need to be finalised and Refunded to reverse a Paid Amount.

How to Apply a Part Payment

A Part Payment can be applied to a Held Order, Account Sale or Lay-By (Layaway) leaving the remaining amount to be placed On Hold for final payments to be applied at a later date.

Payments on Account Sales and Lay-Bys (Layaway) can also be applied through a compatible Integrated Accounting Package (Xero or MYOB AccountRight). Part payments applied through Kounta or the Accounting Package will be kept in sync provided the sale has been synced and an invoice has been created in the compatible accounting package.

  1. Head to Orders and select the Held Order, Account Sale or Lay-By (Layaway) to apply a Part Payment to or Create a new Order.

  2. Tap on Check Out.

  3. Tap on Split Payment.

  4. Select the Amount To Pay or Split to equally divide the amount. The total can be split as many times as required.

  5. Enter the Amount to Pay. The amount remaining will be automatically calculated.

  6. Select Checkout on each amount and specify the payment method. If a cash amount is selected, the change will be shown.

  7. Once the Payment amount has been Paid, Select the Hand Icon (Hold) in the top right to Hold the order again.

Part payments will show under Orders until the remaining payment on the order has been finalised. When opening the order the amount Paid will show against the order total, with the amount To Pay below.

You can also review a customers Unpaid Orders by selecting a Customer and navigating to the Unpaid Orders tab. From here you can also Apply Payments to any Unpaid Orders. Bulk Payments can be applied from the Accounting Package end or paid per transaction through Kounta.

Orders with Part Payments applied will not be able to be deleted. They must first have payment finalised and be Refunded to reverse a Paid Amount.
